About the role:

We are looking for a highly organised and adaptable Finance Administrator to provide essential financial and administrative support to our club. This role will be central in ensuring the smooth operation of our payroll, bookkeeping, and day-to-day business processes.

Working closely with the Accounts Manager and wider team, you’ll help manage critical systems and support both internal operations and member services. If you’re process-driven, tech-savvy, and have a passion for continuous improvement, this is an excellent opportunity to make your mark.

Key Responsibilities

  • Provide day-to-day support to the Accounts Manager and general office operations.
  • Record and bank cash takings; reconcile EFTPOS transactions (Pro Shop and Bar); report discrepancies promptly.
  • Handle inward and outward mail, ensuring documents reach the appropriate parties quickly.
  • Manage creditor invoices: print from email, seek app approval, and input into the Credit System.
  • Maintain clear and accurate filing of all correspondence and records.
  • Support the administration and upkeep of internal systems including Dot Golf, Function Tracker, and Vend.
  • Prepare and issue membership renewal notices and process new member applications.
  • Manage the membership database and ensure it remains current and accurate.
  • Contribute to process improvement initiatives and explore software automation and optimisation opportunities.
  • Perform other tasks as directed by the General Manager.

What We’re Looking For

  • Prior front office or administration experience.
  • Advanced knowledge of Xero and strong banking and accounting skills.
  • Impeccable personal presentation and strong interpersonal skills.
  • Excellent verbal and written communication abilities.
  • Strong customer service orientation with a passion for exceeding expectations.
  • Proactive mindset, able to work independently and resolve issues efficiently.
  • Solid computer skills with an aptitude for systems and accounting software.
  • Understanding of Health & Safety protocols and evacuation procedures.
  • Full, clean New Zealand driver’s licence is essential.
